To optimise the performance of our ML system and enhance user experience, we've introduced a new limit on the number of "Entries/Records" displayed and interactable at one time in our home view, capping it at 5,000.
This modification aims to improve the efficiency of processing bulk actions and minimise potential disruptions.
To further clarify the process of managing large datasets under the new system limit, here’s an example that outlines the steps users should follow, particularly when dealing with numbers of records above 5,000.
Steps for Managing Bulk Actions and Bulk Emailing with a Practical Example
With the revised limit of 5,000 records per page, users will need to approach bulk actions and communications in segmented batches.
Here’s how to effectively manage a dataset of, for example, 15,000 records:
- Applying Filters and Initial Action:
- Apply the necessary filters to segment the records based on criteria like status, category, or member type.
- The system will display the first 5,000 filtered records. Let’s assume these are records 1 to 5,000.
- Perform the desired actions on this batch—be it updates or sending bulk emails.
- Navigating to Subsequent Batches:
- Once the actions on the first batch are completed, move to the next page to access records 5,001 to 10,000.
- Repeat the actions performed on the first batch.
- Proceed to the third page, which will display records 10,001 to 15,000.
- Complete the actions for this final batch.

Example:
Imagine you need to update the membership status for 15,000 members or send them an important email. Here’s what you would do:
- First Page: Update or email the first 5,000 members.
- Second Page: After completing the first batch, move to the second page and repeat the process for the next 5,000 members.
- Third Page: Finally, navigate to the third page and address the last set of 5,000 members.
This structured approach ensures that each record is accurately updated or contacted, maintaining system performance and reducing the risk of overload or errors. By processing in manageable increments, users can ensure that large-scale tasks are handled efficiently and effectively, enhancing productivity and system reliability.
